BACKGROUND

Health and Hospital Corporation of Marion County is committed to promoting good health throughout the community. Their mission is to promote and protect the health of everyone in the community and provide health care to those who are underserved. The Corporation operates the Marion County Public Health Department and Wishard Health Services. In addition to these two divisions, the Corporation has an executive division that provides corporate-wide fiscal and legal administrative support. Health and Hospital Corporation’s goal is for greater Indianapolis to be the healthiest large city in the United States by the year 2020.

THE CHALLENGE

Rex Stanley, Director of Facilities, Planning and Construction joined Health and Hospital in 2004, and has been an eMaint customer since 2008. Rex and his maintenance team are responsible for the upkeep and maintenance of 17 clinics, health facilities and labs in Marion County totaling over 500,000 square feet of residential and commercial space. Each facility has different government regulations that need to be followed. Compliance must be demonstrated during unannounced audits by the different Government regulating bodies. Over 1,000 employees can submit requests to the maintenance team. Health & Hospital needed a system that could help them manage planned preventive maintenance on the assets for each facility plus keep track of over 2,200 work requests a year. Rex narrowed the search for a CMMS system down to 3 companies. After trying each, he found eMaint CMMS to have the most flexible interface with exceptional support at an affordable price.

IMPLEMENTATION

The customized work request form was placed on the company web site allowing over 1,000 employees to submit requests. Work is assigned based on building and status updates are emailed to requesters.Once a work order is a closed, notification is sent to the requester so they are aware that Rex considers the problem solved. Preventive maintenance schedules were defined for each building with assets ranging from roofs and lighting to residential A/C units and commercial chillers. Once a work order is completed, Rex signs off that it was done correctly by either in-house staff members or outside contractors. Reports are generated to show work performed by person for staffing decisions and by department for budget tracking. These reports also show which buildings are costliest to maintain and may require upgrades so budgets can be planned accordingly.
